COVID-19 Policies

We are excited to hold our 2022 annual meeting, our 50th anniversary meeting, at the Lafayette Hotel Swimclub & Bungalows. When the SCCR executive committee decided we should hold off on having our 50th anniversary meeting, moving it from 2021 to 2022, we recognized it was not safe to hold an in-person meeting at the time. We are going forward with an in-person meeting in Feb. 2022 with safety in mind as well. We are also working closely with the meeting hotel to assure we follow CDC and San Diego County practices with respect to in-person gathering, and we have, as the executive and conference committee, opted for some more stringent measures.

For now, we are planning an entirely in-person meeting. We do not intend to use a hybrid format.

We are moving forward with the below policies in place. That being said, we cannot predict ongoing shifts in COVID rates, so we will update these accordingly.

  • Proof of Vaccination
    1. Attendees must submit proof of vaccination by February 1, 2022. Complete vaccination means that 14 days must have passed since your last dose of the vaccine. This means the last day you can have had your second dose (or only dose for single-dose vaccines) of COVID vaccine is February 1, 2022.
    2. Proof of vaccination must be uploaded to the following this LINK by February 1, 2022.
      • When you upload your proof of vaccination, please do so as a jpeg or PDF document. Please title the file as “LASTNAME_VaccinationProof” (e.g., Bartholomew_VaccinationProof). All attendees must provide this proof of vaccination.
    3. All attendees must provide proof of vaccine that is approved/authorized by an appropriate medical authority. Please check this World Health Organization link to determine if your vaccine is approved.
  • Symptom Monitoring & Health Attestation
    1. We ask that you do not attend if you if you are experiencing any symptoms of COVID-19 or have had close contact with a person who has tested positive for COVID-19 within 14 days of the meeting.
      • If you have registered already and begin to experience COVID-19 symptoms or have had close contact with a person who has tested positive for COVID-19 within 14 days, please contact the conference organizer about your registration.
    2. Each morning, attendees must visit the registration/check-in table to attest that they are symptom free. You will be given a daily color-coded sticker to place on your conference name tag that will indicate you have completed your symptom attestation.
  • Mask Use & Social Distance
    1. We will require mask use in all meeting areas of the hotel. This includes mask use during symposiums, paper sessions, poster sessions, and keynotes, with all parties involved wearing a mask.
    2. SCCR, as a small society, will have a small number of masks available for use should you forget or lose your own personal mask(s).
    3. Your masks must be a CDC approved mask that covers both your nose and mouth.
    4. We will maintain social distance in meeting spaces as accordant with CDC guidelines.
  • San Diego County Guidelines

    2. Please note that San Diego County does currently allow those individuals who are fully vaccinated to be in doors without a mask. We are requiring all individuals attending the conference to wear a mask regardless of vaccination status.
  • Hotel Precautions
    1. All hotel staff, in accordance with county and CDC guidelines, will be using masks and maintain other sanitation (e.g., hand washing).
    2. Hand sanitizing stations will be positioned throughout the hotel and meeting space.
